Fit CNC birch ply overhead lockers & galley
Underslung 85L fresh & waste water tanks
Victron MultiPlus-II 3kVA & 400Ah Roamer LiFePO4
Autoterm 2kW diesel heater & turret mount
Built around the day-to-day of a conversion workshop
Everything required to take a base vehicle from initial enquiry to signed-off handover, without generic project management clutter.
Task Board & Stage Dependencies
Organise jobs across To Do, In Progress, and Done. Link prerequisite tasks so second-fix joinery cannot be started before first-fix wiring is signed off, and duplicate standard layouts from reusable build templates.
Parts Inventory & Job Costing
Catalogue inverters, heaters, vents, and sheet materials with both trade unit costs and retail prices. Allocate parts directly to build tasks to deduct stock automatically, monitor low-stock thresholds, and see live parts margin per project.
Live Stopwatches & Labour Logs
Assign multiple technicians to complex jobs, set estimates using workshop day shorthand (1d 4h), and run live stopwatches from bay tablets or log hours manually against tasks.
Scope Locking & Change Orders
Optionally lock agreed deliverables and baseline budgets before starting work. When customers ask for mid-build upgrades, send a priced Change Order for one-tap approval before ordering parts or cutting panels.
Workshop Bays & Resource Schedule
Configure colour-coded physical work bays (such as Strip & Prep, Auto-Electrics, CNC Joinery, and Pop-Top Fitting) and view scheduled tasks and handover dates across your workshop calendar.
Enquiry CRM & Inbound Email Sync
Forward prospective build enquiries to your workshop’s dedicated intake address, reply via your own SMTP mailbox, book workshop visits, and convert accepted quotes straight into active builds.
A dedicated Customer Portal that keeps your workshop floor focused
Available on Professional and Master plans, the Customer Portal gives vehicle owners a single place to follow their conversion, view approved milestone photos, sign off change orders, and message your team—without exposing internal notes, technician hours, or trade costs.
- Selective visibility: choose exactly which tasks and photos appear on the client feed.
- Digital approval trail for baseline scopes and mid-build variations.
- White-label branding on Master tier: custom workshop logo, brand colours, and typography.

Frequently asked questions
What is included on the free Starter Workshop plan?
The Starter Workshop tier (£0/month) includes 1 active vehicle build project, the visual Workshop Task Board (To Do, In Progress, Done) with task dependencies and file attachments, build specification notes, and 1 reusable build template. Live time tracking, parts inventory, the Customer Portal, and Change Orders require the Professional (£49/month) or Master (£129/month) plan.
Can customers see technician labour hours or trade part costs?
No. Stopwatch logs, technician hours, trade unit costs, and internal task notes remain private to your workshop team. Customers only see tasks and photos you explicitly mark as visible on the Customer Portal, plus formal scope and change order documents.
How do digital change orders work during a build?
When a client requests an extra or specification change mid-build, you create a priced change order. The client receives a notification and approves or declines it in their portal. Approved variations automatically update the project budget.
Can I use VanBuild OS for partial conversions or specialist jobs?
Yes. Scope of Work locking is optional on every project, so you can run full bespoke campervan builds alongside quick turnaround jobs like pop-top roof installations, diesel heater fits, or 12V lithium upgrades.
